Buildertrend and STACK CT are tied for first place as my favorite software tools. Buildertrend excels at streamlining our project management — simplifying everything from communication and scheduling to budgeting. It keeps our team and clients on the same page, ensuring smooth operations.

STACK CT is equally essential for its fast, accurate estimating and takeoff capabilities. It allows us to stay competitive while maintaining the precision we pride ourselves on.

With both programs, we can truly leverage our expertise, delivering efficient, well-managed projects with a high level of professionalism and care.

My go-to program is CRM (customer relationship management). Before you can dive into estimating, project management, procurement, scheduling or financial apps, you need to secure a signed contract.

The most efficient way to reach that point is through the consistent and strategic use of a CRM system. CRM software is the backbone of proactive business development and marketing processes. It allows one to track client interactions, manage leads and nurture relationships, ensuring that every opportunity is maximized. By maintaining an organized and data-driven approach, a CRM helps turn potential clients into long-term business partners, paving the way for successful projects. It not only helps with building new business but also maintaining business through effective account management.

Until a contract is secured, nothing else happens.

As a new business owner, me and my team searched for weeks for a software that would help us achieve great success and separate us from the rest. This was my first time using a system like STACK, and it has helped us become a much more efficient company. We see how beneficial this software has been in maximizing our GP. If it wasn’t for STACK, I would have never dreamed of working with clients such as Verizon, Memorial Hermann, Russo’s Pizzeria and much more. I use this system every day and have been teaching my team to use it as well to help save costs when purchasing materials.

Project Manager
Lion Developers

At Lion Developers, our approach to project management revolves around efficiency and strategic planning, both of which contribute to staying on schedule and under budget. We focus on building large multifamily construction in north New Jersey. By leveraging the latest software tools — Stack CT, Procore, Wrike and QuickBooks — we ensure that our operations are streamlined, communication is clear and projects are completed with precision and speed.

Stack CT provides us with the ability to accurately estimate quantities on drawings, giving us a comprehensive understanding of project plans. This allows us to address requests for information (RFIs) ahead of time, reducing potential delays. Stack CT also helps us create detailed takeoffs, leading to more consistent bid packages. This eliminates the back-and-forth during the bid leveling process, reducing change orders (COs) and aligning all vendors from the outset.

For communication, Procore is indispensable. This platform allows us to coordinate effectively with design teams, subcontractors and management. It consolidates all project data, ensuring the latest plans, RFIs and shop drawings are always available to everyone involved. By eliminating repetitive tasks like sending bids, reports and punch lists, Procore allows us to focus on high-level project management, improving both speed and accuracy.

Our in-house systemization is powered by Wrike, which allows us to manage tasks with a dual focus: the big picture and bite-sized steps. Wrike reduces the need for constant email updates and across-the-office conversations by keeping team members engaged only when necessary. This not only boosts efficiency but also ensures that nothing falls through the cracks, keeping projects on track and avoiding costly oversights.

We use QuickBooks for maintaining all accounting information, providing the backbone of our financial management. With Procore integrations, we achieve great collaboration between the field team, project managers and the accounting team. This ensures that all financial information is kept up to date, helping us stay within budget and ensuring payments are made on time.

Microsoft Office remains a valuable support tool for our operations, particularly for email and cloud document storage. Though we occasionally use Excel and Word, the comprehensive features offered by Stack CT, Procore, Wrike and QuickBooks have allowed us to minimize reliance on traditional Office tools, focusing instead on streamlined, modern project management solutions.
